Client Services Administrator

The Client Services Administrator supports our Client Services team in day-to-day administration and customer telephone contact, and reports into the Client Services Director.  

For the Client Services Team, the role supports across different areas as required including customer communication via email and telephone to ensure that all documentation, such as finance documents, proofs of identification, order and delivery updates, are managed in a timely and professional manner, maintaining our high customer experience ethos.  The role works closely with the sales team, gaining a commercial insight into an online business.  The role offers career progression within a growing business for the right candidate.

Responsibilities:

  • Responding to in-life queries and contract amend requests
  • Creating Vehicle Orders from internal systems
  • Processing personal identification & finance paperwork
  • Creating Welcome Letters & Driver Letters from internal systems
  • Processing delivery paperwork packs
  • Liaising with customers directly on the telephone and email
  • Supporting the Client Services Team as required 
  • Work to and meet Financial Conduct Authority (FCA) Consumer Duty requirements 

Qualifications and Skills 

  • Good written skills
  • Resilient manner in dealing with issues directly with the customer by phone and email
  • Attention to detail, both written and verbal
  • Ability to work under pressure in a fast-moving environment
  • Excellent organizational skills
  • You will be confident with a positive approach
  • 1-2 years’ experience in an administrative role 
  • May also suit a recent graduate looking for an office-based administrative role

Junior Pricing Co-Ordinator – Placement Year

Job Type: Full time

Location: Harrogate, North Yorkshire, HG2 8RB (2 mins walk from Hornbeam Park train station)

The Pricing Coordinator supports our data team in pricing vehicles for the website. You’ll be responsible for sourcing pricing information, finding the best price possible and uploading this to our website.

This role primarily involves adding pricing data to an Excel spreadsheet. It may suit someone with numerical skills, interested in the automotive sector and gaining valuable experience with an online SME.

Due to the collaborative nature of the role, this is an office-based role in Harrogate.

Responsibilities and Duties

  • Source accurate pricing data through third party systems
  • Present pricing data to reflect the most competitive pricing on our website across a range of different vehicles
  • Upload pricing data into the website, ensuring it is accurate
  • Provide written updates to our sales team and marketing team on new pricing uploaded to the website
  • Independently prioritize daily tasks, following set processes, including uploading new promotions and resetting pricing
  • Compare the prices of competitors
  • Ensure your working and any data uploaded meets consumer duty regulatory requirements
  • Work with the wider data team to meet business needs in a fast moving, competitive marketplace

Skills

  • Highly numerate
  • A good working knowledge of Microsoft products
  • Good understanding and use of Excel (pivot tables, v-lookups, basic formulae)
  • Attention to detail
  • Good written and verbal communication skills
  • Experience in or an interest in cars is advantageous
  • A willingness to learn and grow with the business
  • Ability to work individually, but also as part of a team

Sales Account Manager (Trainee positions available)

A fantastic opportunity to join the Synergy Car Leasing Team as a Trainee Sales Account Manager/Sales Account Manager. The online Business and Personal leasing market is growing at a time when other areas of automotive and finance sales are under pressure. Our Sales Team enjoy a busy environment managing all types of customers from private individuals to large organisations. Successful applicants will work with some of the best people in the industry, undertaking a full training programme. Due to the training and management support required, this role is office based from our Harrogate, North Yorkshire location.

Sales Account Manager Responsibilities

  • Undertake full sales development training programme
  • Achieve sales performance, compliance and customer-service related objectives
  • Manage customer relationships through our Customer Relationship Management System (CRM), communicating with prospects & customers whilst managing time efficiently
  • Work with and understand multiple finance systems, brands and products to achieve sales objectives whilst delivering a great customer experience
  • Work professionally and efficiently within our regulated process; undertaking compliance training, ensuring our customers are treated fairly, and our values of consistency and customer communication are met throughout all interactions

Customer Retention and Renewals Manager

The customer retention and renewals manager is responsible for managing existing customers at the end of their lease, by supporting them with a new lease vehicle and retaining them as a customer.  The role requires a relationship management approach to nurture and support our existing customers.  This is a new role in the business, with the opportunity for the right individual to make a significant impact in a dynamic, growing online SME.

The role requires contacting both private individuals and business customers towards the end of their current lease agreements to understand their requirements for their next vehicle.  You will then provide quotes for the customer, check vehicle availability, secure the order in line with financial regulatory standards, consumer duty and within our high customer experience policies and procedures.

Responsibilities and Duties

  • Proactively contact customers from 6 months before their end-of-lease to identify their requirements for their next vehicle. This is by phone, email, video call and text
  • Ensure that the customer is followed-up to gain a response, and then at the next appropriate point in the lifecycle based on their future requirements to nurture the customer relationship
  • Identify any further requirements from the customer such as additional vehicles for a business
  • Provide accurate and timely information and quotations to the customer for their next vehicle or vehicle extension, and then follow up with the customer to gain feedback
  • Ensure accuracy of information provided for finance applications and order forms by checking this with the customer before submission
  • Ensure that consumer duty is adhered to and all Synergy policies and process are followed
  • Keep accurate records in the CRM system of customer details, and use the CRM system to ensure that follow ups to customer are documented and flagged when due, which can then be acted on
  • Work with the Client Services Team to ensure clear communication with third parties and the customer, maintaining our excellent customer service levels
  • Work with the marketing and data/pricing team for any marketing materials to send to existing customers; any specific pricing requirements or data/contact lists to promote strong deals for renewal customers
  • Be an active member of the wider sales team and wider company team
  • Provide monthly reports to SLT and line manager against objectives and targets, as well as background/anecdotal information from customers
  • Achieve volume, profit, customer service and compliance targets

Qualifications and Skills

  • Minimum 2-3 years in a similar sales, telesales, customer service or retention role, preferably from an automotive background but this is not essential
  • Strong customer relationship management skills, with the ability to consistently follow-up with customers over several months
  • Ability to manage multiple online quoting systems; with strong numerical skills
  • Excellent communication and articulation skills, both written and verbal
  • Excellent attention to detail and organizational skills
  • Strong resilience and able to work effectively through set procedures and processes
  • Team player, working with sales team colleagues and other departments
  • Ability to work towards targets and performance KPIs
